How Pongg works, from first ring to booked job
A step-by-step look at how Pongg answers, books and follows up on calls for roofing, plumbing, HVAC and auto repair businesses, plus what you see after.
Owners ask us the same question on every demo: what actually happens when someone calls? Here's the full path of one call through Pongg, start to finish.
1. The phone rings
Your team gets first shot. Pongg doesn't jump in front of your office manager. You decide the rules: ring the office for 20 seconds, then Pongg. Or Pongg after hours only. Or Pongg whenever every line is busy.
2. Pongg picks up
If your team can't get to it, Pongg answers in your company's name. It's been set up with your services, service area, hours, and how you want emergencies handled. It asks the questions your best dispatcher would ask: what's going on, where are you, how urgent is it.
3. The job gets booked
Pongg checks your calendar and offers real times. Once the caller picks one, it books the appointment through your calendar or CRM and sends a confirmation text. If the call needs a human (a big commercial job, an upset customer), Pongg takes the details and flags it for your team right away.
4. Missed calls get a text in seconds
If someone hangs up before anyone answers, they get a text back almost instantly: "Sorry we missed you, this is [Your Company]. Want the next available time?" Most people would rather text than wait on hold. The five-minute rule.
5. Follow-up happens on its own
Reminders go out before the appointment. Estimates that went quiet get a call or text from the Outbound Voice Agent. Old leads get a nudge from Win-back Campaigns. Your team doesn't have to remember any of it.
6. You see every call
Every call, whether answered by your team or by Pongg, shows up in the Pongg app with who called, why, what happened and how it was tagged. Call Lead Tracking shows which ad, mailer or listing drove it. At the end of the month you can see what the phone actually brought in. What most owners never see on their own phone.
Setup: what you do vs. what we do
Pongg is done for you. Our team handles the setup: learning your business, writing your call flows, connecting your calendar and CRM, and setting up forwarding. Your job is a kickoff call and a review before go-live. We confirm your launch schedule during setup.
After launch, our customer success team keeps tuning it. What customer success actually means at Pongg.
